The right access plan keeps everyone working from the same instructions. Check both properties before moving day, then share the confirmed arrangements with your Teddy Bear coordinator. Building rules and municipal requirements depend on the address.
Ask each building for its moving instructions
Contact the property manager, landlord or condo association at pickup and delivery. Ask for the allowed moving days and hours, the delivery entrance, a building contact and any required paperwork. Keep the written instructions together with your booking.
Confirm key collection separately from your moving reservation. An accepted moving estimate does not reserve an elevator, approve street parking or guarantee access to a building.
Reserve the elevator and check the furniture route
- Ask whether a service elevator must be reserved and whether the reservation includes setup and cleanup time.
- Confirm the elevator door opening, inside dimensions and any building restrictions. Share photos of large furniture and tight turns with your coordinator.
- Include floor and unit numbers, stairs, landings, long corridors and the route from the loading entrance.
- Ask who unlocks the elevator or loading door and how to reach them on moving day. Confirm any protective padding requirements with the building.
Confirm where the truck can load
Tell us whether loading is on a private driveway, a shared loading bay or a public street. Photos of the approach, entrance and walking route help us assess the job. Include gates, height restrictions and any narrow or steep approach.
For private space, get permission from the owner or manager. For public street space, contact the municipality or its designated parking office about your exact address and date. A resident parking permit or an empty space is not a moving-truck reservation. Confirm any required application and arrangements directly; do not assume the rules are the same in neighboring towns.
Send Certificate of Insurance requirements early
If your building requests a Certificate of Insurance (COI), ask its manager for the written requirements or sample certificate. Send these to the Teddy Bear office with your booking reference, moving date and property address.
Include the certificate holder’s exact name and address, any requested additional insured wording, the manager’s email and the building’s submission deadline. Our office can review the request and coordinate the appropriate documentation. Ask the building to confirm acceptance before moving day; a request alone is not approval.
Share one access plan with everyone
- Pickup and delivery addresses, including building and unit numbers.
- Confirmed loading and elevator windows, entrances and the agreed truck location.
- Names and phone numbers of the people providing access at each property.
- Building approvals and accepted insurance paperwork, where requested.
- Photos of difficult access and a list of furniture needing a closer assessment.
- Any changes to keys, reservations or the furniture route as soon as you learn about them.
Keep a backup contact ready
If an elevator fails, the loading area is occupied or keys are delayed, contact your coordinator and the building manager before changing the agreed plan. Keep entrances clear and do not block emergency access.
For an apartment, office, house or storage facility, the same goal applies: everyone knows where the crew should arrive and how the belongings can reach their destination.
